Schedules For Grad Night Volunteers

Nearly 300 volunteer shifts need to be filled! We need staffing from Friday afternoon 6/12 through cleanup on Saturday 6/13. Shifts are 3 to 4 hours long.

Who volunteers to work at Grad Night? Sophomore, Junior and Senior parents and community members join together to make this celebration fantastic! Traditionally, sophomore and junior parents volunteer for the early shifts so that senior parents can enjoy Graduation.

  1. Greeters and Tours 
    Greet vendors and volunteers and show them where to set up or where their area is. Tours lead public tours of Emerson. Sign-ups begin February 1.

  2. Ticket Sales, Outside Check-in, Inside Check-in
    Ticket Sales:  Sell Grad Night tickets to Graduates until midnight. Outside Check-in: Check-in each Graduate as they arrive and hand out passports.  Close the entry at midnight and clean up entry area. Inside Check-in:  Check bags, backpacks, etc.; Monitor items going into Grad Night.  Clean-up area at the end of the evening. Take down check-in booth from 5:30 a.m. to 7:00 a.m., and clean up area.

  3. Food
    Food Pick-up and Prep: Pick up food at restaurants in Davis (finish by 8:00 pm). Receive delivered items; food prep (wash fruit, cut vegetables, heat items). Set out beverages in tubs and set out food on serving tables. Food Servers: Prepare and replenish food on tables and trays; replenish drink in tubs; carry food on trays to serve graduates and volunteers.  Food Clean-Up: Begin organizing leftover food for cleanup.  Collect all beverage containers from throughout the site; move all waters and sodas to the front entry for the clean-up workers. Put out breakfast foods for volunteers. Deliver leftovers to donation sites.

  4. Casino
    Dealers for Blackjack and Poker; Craps table croupier; Cashiers, and Wheel of Fortune hosts. Any shift past 4:45 am, will clean the area and organize the casino supplies for 2009.

  5. Raffle
    Raffle workers will draw tickets and distribute door prizes; update distribution lists; and hold Grand prize drawing.

  6. Activities, Stadium & Outdoor Commons
    Activities: Parent volunteers in  these areas will facilitate the activities.   They will help the vendors when necessary; replenish supplies; and coordinate the area activities.  Stadium; Bungee Run, Sports speed, Dance Dance Revolution; Basketball; Golf; Air Hockey & Foosball. Monitor area and assist grads. Observe and secure exit doors.

  7. Security and First Aid
    Security: Parent security for Emerson exits; check-in assistance.  First Aid: Parent volunteers will staff the first aid station.

  8. Clean-up
    5:00 a.m. Shift:  Begin clean-up of Grad Night areas. Organize supplies for return to sea crates; review instructions for items to be saved, recycled or disposed.

    6:00 a.m. Shift: Begin clean-up of Grad Night areas. Organize supplies for return to sea crates; review instructions for items to be saved, recycled or disposed.  Begin returning items to sea crates.

    7:00 a.m. Shift: Continue clean-up of Grad Night areas. Organize supplies for return to sea creates; review instructions for items to be saved, recycles or disposed of. Load trucks with items for sea crates. Begin removal of all tape, staples, glue, etc.

    8:00 a.m. Shift: Finalize clean-up of Emerson. Load trucks with items for sea crates. Check and double check all areas for tape, staples, glue, etc. Organize recycle and trash. Check with custodians to ensure completion of clean-up.
